August 31, 2009


Meeting called to order at 7:01 in JB 105


DOSAF: Shannon George

  • No report.
  • Still needs to talk to the Dean.


DOSAC: Ryan Frazier

  • Looked at E-Ball locations over the summer
    • Currently narrowing down the list of 
  • Cheap lunch
    • Looking at dates September 14th and October 5th 
    • Pizza for one of the days, and a cookout for another day
  • Society Picnic September 16th
  • Fall Festival
    • Currently planning everything.


DOSR: Race Nichols

  • No report.


DOPR: Belinda Casanova

  • Working on the E-Expo logo.
  • Will be organizing people to go to ENGR 100 class tell the freshmen about council.
  • SGA has a calendar that we can put our major events on to advertise around campus.


DOF: Mike Schoen

  • Talked to SGA and the Deans office.  Working on tracking our funds on an ongoing basis.
  • Only Kent and Mike can now use the Pro card.


DOCAR: Allie Bube

  • Thursday at 5PM will be meeting with Alumni about E-Expo and having current students meet with Alumni in the council office.

DOA: Jared Hatfield

  • Elections of 1st, 4th, and 5th year representatives.
    • Applications will be sent out 
  • Door codes have been reset.
    • New codes have been sent out to everyone who requested them.
  • Freshman handbook
    • Looking into how to distribute the handbook
  • The council printer was destroyed sometime between mid-day on Friday and Saturday morning.
    • Plan on send out email saying that people who use their door code to access the room will be held responsible for any damage to council property.
    • Will be looking into a possible replacement.

Vice President: Alex Halbleib

  • Will be working with Belinda about E-Expo Logo.
  • Talking to Jimmy Kidd about contacting High Schools.

President: Kent Matsuzaki

  • Planning on ordering food for this Thursday's meeting.
  • Possible plan: paper meeting every other week and a committee breakout session during the alternating weeks.
  • Ideas for council social events
    • Going out to the movies
    • Poker night
    • Skiing event
    • Lots of other ideas...

    Meeting called to order in JB 107 at 7:00 PM


    DOSAF: Shannon George

    • Excused.
    • The first Study Jam will be Monday at 7:30 location TBD.
      • Mike will make sure the event is on the calendar.
      • Belinda will be advertising for the event.


    DOSAC: Ryan Frazier

    • Cheap lunch today went well.
    • Currently under budget for cheap lunch and society picnic.


    DOSR: Race Nichols

    • Only 5 societies have responded about setting up a table for society picnic.  (IEE will be attending which brings the total to 6.)


    DOPR: Belinda Casanova

    • We have been contacted about selling CARD shirts.


    DOF: Mike Schoen

    • Will be making a trip to restock the council office later this week.
    • Will be meeting with the social committee within the next two weeks.


    DOCAR: Allie Bube

    • Will be speaking with Chris Whiles about getting Mentor program information distributed.
    • Deadline for Spring CPC funding is November 19th.

    DOA: Jared Hatfield

    • If you set up a time for your committee to meet make sure it is on the calendar.
    • Will be working on a way to distribute email addresses to committee chairs.
    • Currently in the planning phase of the E-Expo website redesign.  
    • Mike: People have been asking about Assassins.

    Vice President: Alex Halbleib

    • There is a preliminary schedule for the planning of E-Expo.
      • There needs to be a Google Doc for keeping track of judges for E-Expo competitions.  Needs to track name, phone number, and email.
    • Application for student research competitions will be posted by November.
    • Will be contacting people about setting up the lab tours.
    • At this point in time the competitions may be more of "Activities"

    • Academic Integrity Committee
    • Free concert this Friday

     

    Advisor: Dr. Willing

    • They are already starting to plan the dinner before the homecoming day.  It is the Friday before Spring Break.


    NAESC Regional Conference: Marshall Sullivan

    • Shelly has talked to several universities about attending.  A few have signed up on the website.
    • Most of the focus has been on getting funding.  A few of the departments have already given some money.
    • Anyone who knows a company that could advertise should point them towards NAESC Committee.

      • All other sources of funding has been exhausted.

    Announcements:

    • The regional science fair committee wants some volunteers to help judge the science fair which will be the week after E-Expo.
    • Little Cesars was giving away free pizza.
    • The career development center is looking for volunteers for the Engineering Career Fair on October 27th.  The fair is from 11AM to 3PM and they will need volunteers from 9AM to 4PM.
    • This Thursday will be a regular general body business meeting.
    • Planning on opening nominations for Leadership Advantage advisor.

    DOSAF: Shannon George

    • Not present.
    • Kent: Study Jams will will start next next Monday at 7:30b in Vogt 311 


    DOSAC: Ryan Frazier

    • Ryan: The Fall Festival date is possibly in the midst of being changed.  If Marshall S. is at the meeting, he will explain.  If not, he told me that when he called Huber's to get supplies from them they said that if the event was in early October, they would be able to donate a lot more stuff (pumpkins, food supplies, etc.)  So, I'm waiting on Marshall's word for the date. 
      • Marshall: Huber's would not be able to sponsor it if it was held at its current date.  If it was moved to the beginning of October, October 2, on a Friday from 11 PM till 2 PM.  There is also a football game later that day.
    • Ryan: It would be nice to know my budget for E-ball-obviously I will try to go cheap, but it would just help to get a real number since the one on the budget isn't right...apparently. lol  What is it, Mike?
      • Mike: The current number is $5,500 with collecting $2,000 from students with a net cost of $3,500.  For E-Expo $3,000 is spent on the Keynote speaker, any excess will go towards E-Ball.


    DOSR: Race Nichols

    • Within the hour, there will be a reminder sent out to societies who haven't updated their society page on the website.  The AIAA page will be removed.


    DOPR: Belinda Casanova

    • Will be giving information to Dr. Ralston about Study Jams.


    DOF: Mike Schoen

    •  Will be getting together with Kent to get the council account updated.
    • Will be setting up a time with the DOF committee to count money.
    • Social Committee: Talked to committee about setting up a movie night.  It will be a movie that everyone likes.  Date TBD.


    DOCAR: Allie Bube

    • DOCAR committee will be making all of the reservations for the E-Expo Keynote speaker.  Working on filling out the CPC funding application.
    • Sending RSVP for Homecoming Dinner.  Plan to be there even though it is the same day as NAESC.
    • Pick up a mentee application!

    DOA: Jared Hatfield

    • LA nominations will be pushed back a week because this week this week is a "Committee meeting"
    • Some members are currently in warning standing and will go into bad standing if they miss one or two more meetings.
    • Will be delegating out work for generating static content for the E-Expo website.

    Vice President: Alex Halbleib

    • Will be finding ways to use the committee.
    • Marshall: People that are looking to make donations want an itemized budget.

    President: Kent Matsuzaki

    • Directors should appoint a secondary chair, or backup person in case you can't make it to one of your meetings.
    • SGA was discussing the campus wide smoking ban.  This is essentially set in stone.  SGA has a resolution to make the designated smoking areas permanent.  The current plan is to make the designated smoking areas disappear next year.


    Advisor: Dr. Willing

    • The Dean has asked all of the departments to start preparing for the ABET accreditation.
    • Each department will have 1 or 2 classes where students will be interviewed.


    NAESC Regionals: Shelly Willingham and Marshall Sullivan

    • The $600 that was spent on registration forms for SSSC is in the NAESC account's possession.
    • We need to make a decision on how we are going to break out who is "attending" and who is "helping" at the conference.
    • Directors will be the first that will be offered to attend the regional conference.  There will also be a signup for volunteers.
    • Turned in the Special Project Fund Request to the SGA senate.  Marshall will be attending that meeting tomorrow.

    Freshman Council: Lauren Speaker

    • Freshman council has settled on a Rock Band tournament on November 12th or November 19th in the Duthie building.
    • They have already ordered trophies for the tournament.
    • There will be a DJ and lights and food.  The DJ is donating his services.
    • There will be a minimal charge for food to cover some of the cost so there will be more food for everyone.
    • Teams will be able to sign up online.


    DOSAF: Shannon George

    • Study Jams tonight at 7:30 in Vogt 311.
    • The ABET forum is next Tuesday in Vogt 311 fro 12:00 to 1:30.


    DOSAC: Ryan Frazier

    • Cheap lunch is October 5th from 11:00 AM to 1:00 PM.  It will be pizza from Papa Johns and it will cost $3.
    • Still needs to write a check to the Red Barn, will be working with Mike to get this finished.
    • The Career fair is October 27th and volunteers are needed.  @Lauren: we need volunteers.
    • @Lauren: For Fall Festival the freshman have run the pumpkin throwing competition.  Freshman need to discuss this at their last meeting.
    • Right now the budget for fall festival is $500 and currently half of that money is dedicated to a dunk tank and a joust.  Currently looking at eliminating the dunk tank to get more money for other things.  Also, need to contact the SAB about getting help running Fall Festival.
    • Still need to purchase t-shirts for the summer sports league.


    DOSR: Race Nichols

    • There is a new organization, EWH.  It is in the BMES department.  They have an interest meeting tomorrow at 12:30.
    • Tomorrow on Oct. 6 from 12:00 to 1:00 in Vogt 314 there will be a representative from ADTRAN  which will have a presentation about T-1 communication technology.  Free lunch will be provided.
      • This time conflicts with the ABET Forum.
    • Only 8 societies have updated their websites, 6 still need to update their sites and after that there will be a generic page of content put up.


    DOPR: Belinda Casanova

    • No report.


    DOF: Mike Schoen

    • Mike is no on the account now.  (Everyone said, "Yay!")
    • The current plan is to restock the council office on this Thursday.
    • The Social Committee: planning on hosting a movie night.  The general consensus is Revenge of the Nerds.  The location is still TBD but JS 100 is a likely candidate.  An outside movie is a suggestion that has been made.  The tentative date and time is October 15th from 7 PM to 9 PM.


    DOCAR: Allie Bube

    • No report.

    DOA: Jared Hatfield

    • Will be giving the council presentation at NAESC.  Will be focusing on the website and the emphasis on getting involved on council.
    • There is a Google Doc that outlines some tasks for the E-Expo website.  So far no one has filled anything out.

    • No report.

    • Ahmed and Michele both made it to the top 10!  Everyone should vote on Ulink!
    • NAESC is in 2 weeks.
    • We have been given permission to paint the door.  Planning on painting Friday at 12:00.
    • Student of the Month and Parent of the Year applications are available and can be filled out.


    NAESC: Shelly Willingham

    • Working on getting everyone signed up who is attending NAESC and those who are volunteering at NEASC.
    • All of the sponsorships is covered.
    • All of the down payments have been made.
    • The conference will be at the Holiday Inn Airport.
    • There are 3 spots available at the hotel for UofL attendees.
    • There are 3 schools attending with 15 people attending from other schools.

    • Allie: Take the mentee applications to your friends and force them to fill them out.
    • Allie: There is a meeting with the alumni this Thursday at 5:00 PM in the council office about E-Expo.
    • Exon Mobile is holding interviews this week for co-ops and full time positions.

    Freshman Council: Lauren Speaker

    • Talked to Paula Murphy about getting Kersey reserved, was told to talk to the dean.
    • Going to ask George Howell for a stage.  The next option will be to ask the Physical Plant.
    • Gift Cards, up to $25 max.  Will look at getting prizes.


    DOSAF: Shannon George

    • Study Jams are in a few minutes.  Lots of upperclassmen are still needed to help out.
    • ABET forum is tomorrow, free food from the Dean's office.


    DOSAC: Ryan Frazier

    • Almost all of the pizza was sold today at today's cheap lunch.  It was the last cheap lunch of the semester.
    • Will be discussing options for E-Ball in new business.


    DOSR: Race Nichols

    • Website for TBP is not updating even though the Google Doc has been updated.


    DOPR: Belinda Casanova

    • ABET forum is tomorrow.

    • Social Committee: Still needs to reserve the room.  Will be contacting Belinda about advertising for the event.
    • In new business: NAESC wan't to use our account to front the cash for the conference.

    • Wednesday at 6:30 we are going to the Grandville to hang out with the alumni.  It will not be anything formal or serious.
    • This Friday the directors will be attending the Homecoming dinner.  Dress will be suit and tie.  The event starts at 6:00 and we can all meet at the council office at 5:30 for carpooling.

    • NAESC starts this Thursday.
    • There is a helper sheet and an attendees sheet that needs to be checked off.

    Meeting called to order in the Council Office at 7:01 PM


    Freshman Council: Lauren Speaker

    • Rock band tournament is definitely on the 12th.
    • The dedication of the building will run from 4:00 PM to 6:00 PM so there is no conflict.
    • The trophies are ready but the invoice was lost so they can't be picked up yet.
    • Freshman council decided not to do anything for fall festival.
    • Career Fair: There are currently 3 volunteers.  A lot of freshmen have class conflicts or are not interested.

    • @Mike: Needs the pro-card for fall festival.
    • @Belinda: Need to advertise for the career fair

    • Collecting receipts from the NAESC conference.
    • The deposit for E-Ball needs to be placed by tomorrow, but all of the receipts from NAESC need to be turned in before we can get the pro-card.
    • Social Committee: The movie night was an epic fail.  Only a handful of people showed up.  There were technical problems getting the movie to play so the location was moved to JS 100.

    • Check out the door!  It is awesome!
    • Will be talking to Peggy tomorrow about when we can meet with her and other Alumni again.

    • First CRC meeting is going to be held this Thursday at 5:15 location TBD.

    • Talked to Mark Schreck with Allie about how the Career fair will be more of a presentation style.  The current plan is to set the school wide career fair for the week before or the week after E-Expo.

    • Each committee can assign a chair for an individual tasks so that individual items that need to be accomplished for E-Expo can be distributed evenly between everyone.

    • The ABET visitors are leaving tomorrow.

    Freshman Council: Lauren Speaker

    • Put up posters (probably in places they were not allowed to), but there are 5 different versions.
    • This week the DJ is visiting to get everything squared away.

    • Study Jam is tonight!


    DOSAC: Ryan Frazier

    • Turned in the alcohol notification for E-Ball.  Mastersons and Frazier will be booked within the next week.  Wallace is heading up the committee for E-Ball.
    • @Mike: Will be getting the card to Ryan tomorrow.

    • Computer is currently broken so text messages are the best way to contact me.


    DOPR: Belinda Casanova

    • Sent an email to council about the career fair.

    • Will be making a food run in the next week and a half since we are officially out of food.
    • Will be attending the appropriations committee about the council budget for SGA tomorrow.

    • Emailed Peggy about the next meeting time.  The first time she can meet is November 19th if we only meet on Thursdays.  Will inform Peggy that we can set up a meeting at 5:00 PM.
    • Ready to submit the CPC budget request for E-Expo Keynote.

    • The choice for setting the meeting time for CRC at Thursday at 6:00 PM was a very bad idea, no one was able to attend at that time.  Currently looking for a better time that fits in everyone's schedule.

    • The appropriations committee is meeting tomorrow to approve all of the councils budgets.  SGA will vote on the budgets on November 17th.
    • This time next week, there will be a budget for E-Expo along with line item tasks.
    • Considering dissolving the VP committee.  The responsibilities would be distributed to the other committees.  Considering refocusing the committee to

    • If you can't make it to a meeting, make sure you have a proxy with a report.
    • The Dean's review is currently being conducted.  They are thinking about distributing the survey to the students, but they need help deciding who to distribute the survey to.

    • The ABET review went well.  There are some things that need to be corrected before the vote, but in general, the news was good.

    • I don't have anything to report.

    • Will be purchasing the food for the Freshmen event next week.
    • Resolution 4 did not pass.

    • Allie and Belinda got co-ops!

    • In an attempt to find a good meeting time for the CRC meeting, no time was found that would work for everyone.   I will attempt to find a meeting time that works for most people, but with the end of the semester approaching quickly, it might be pushed to next semester.
    • All of the content on the E-Expo website has been gutted.  There is a new organizational structure, but it is still blank and needs to be filled in.  This year I am trying to run the registration using Google Forms.  It will still be hosted on pages on our website, but the results will automatically be sent to Google Docs.
    • All E-Expo planing will be done using Google Docs.

    • Sent an email out to the SSSCD list that contains the list of tasks.

    • The Deans Review: currently under way, a survey was emailed out to some students.  If you want, you can be interviewed and asked about the Dean's performance.
    • Resolution 4 did not pass.  Yay!
    • Resolution 5 did pass.
    • CPC deadline is November 14th.  We are submitting a request for the E-Expo keynote.
    • Max has been in contact and says we are allowed to beta test the Assassins Facebook application.
    • There still needs to be a Council Retreat.  Potentially having some type of big E-Expo meeting.  Something fun!  Laser tag?

    • Motion to open the floor for discussion about moving the council office (Mike Schoen)

      • The Engineering Fundamentals department is attempting to consolidate on the first floor of JS 100.  Two offices are not being vacated by the CECS department so they are short offices.  Therefore, the current plan is to move the council office downstairs to free up office space.

    Freshman Council: Lauren Speaker

    • There was some confusion as for the room reservation for the Rock Band event, but it is all ok now.
    • They are picking up food tomorrow.

    • Study jams are still going on, help out.


    DOSAC: Ryan Frazier

    • Still need a check for the Red Barn donation.
    • Requested $900 for CPC funding for E-Ball.

    • Will be setting the Freshmen Council loose at Kroger so they can buy food for their event.
    • We are still owed $7000 form the NAESC conference.


    DOCAR: Allie Bube

    • Alumni Council meeting November 17th will be attending with Kent.  Will mention the council office move to them.
    • Will be meeting with Peggy and friends November 19th at 5:00 in the council office.
    • The due date for the mentor application is November 20th.

    DOA: Jared Hatfield

    • We need to set a meeting time for next semester.
    • Jack Robi contacted me today asking for 2 volunteers for the Duthie building dedication on Thursday.  They would need to help out between 3:30 and 4:30.  I sent an email out to the SSSC Email list asking for volunteers.  Martin Kiefer & Cristina Heisler volunteered to help at the event.

    Vice President: Alex Halbleib

    • Appropriations committee met on Sunday, the SSSC has a proposed budget of $18,000 for next year.  It still needs to be passed by senate before it becomes final.  This puts our budget as the single largest council budget.
    • The E-Expo task list has been updated.
    • Met with Jared last Thursday and worked on improving the E-Expo website.

    • Talked to Dean Star about the new Council Office location.  He said he was willing to work with us for advertising.  He also said that as long as ACM doesn't want the adjacent room, it can be turned into a conference room with a projector.  Additionally, the basement should not flood since the improvements this past spring.  If we do want to fight to stay, we have until the end of the month before the decision is set in stone.  The move is planned to be done during the Spring 2010 semester.
    • Need to decide a good time for the E-Expo Pep-Rally event.  Early January is the current plan for holding the event.

    • The Rock Band Tournament went off successfully.  There were 20 paying people and 4 bands.

    • Working on a Ticket design.

    • Have been working all weekend on making http://engineering-expo.com look amazing.  It is now a wiki meaning anyone can edit it, so if you have any information about E-Expo that needs to be added do it as you see fit.  The registration pages are up and are hosted through Google Forms, the pages on the Wiki are locked so they can not be edited.
    • There is a collection of programs from previous E-Expo / E-Days that I am planning on scanning and publishing on the website.  There is a lot of history that will be surfaced really soon that everyone will want to look at.

    Meeting called to order at 7:20 PM in the Granville.


    Freshman Council: Lauren Speaker

    • No report. (That's weird.)


    DOSAF: Shannon George

    • Study Jams will not happen tonight because of an off-site directors meeting.
    • They will resume for a one time session after Thanksgiving.


    DOSAC: Ryan Frazier

    • Gave the check to the Red Barn today.  They were very thankful.
    • Currently working on getting a DJ for E-Ball.  There are a few options and the biggest concern is price.  E-Ball is still a long way off and we are working on narrowing down the options.


    DOSR: Race Nichols

    • No report.


    DOPR: Belinda Casanova

    • No report.


    DOF: Mike Schoen

    • Excused.
    • He will go on a Sams Run some time.


    DOCAR: Allie Bube

    • Peggy & Friends meeting went awesome.
      • E-Expo is on a roll and will be awesome.
      • The current plan is to get everyone involved in E-Expo from the top down.
      • The next meeting is December 15th at 4:30.  The plan is to have the Dean and the department chairs there along with some free food.
      • There will also be a pre-meeting but the time and date have yet to be determined.

    DOA: Jared Hatfield

    • Three more programs from past Engineer's Days have been scanned into the website.  They have been posted as PDF's that can be searched.  If you have not looked at the program from 1975 it is worth looking at.
    • I talked to the person in charge of University Records at the Library.  They have Engineers' Days programs dating back to the 1930s and 1940s.  They charge $20 per scan to get digital copies of the records.  This is obvious way too expensive and they do not have any way for us to volunteer to scan in the old documents.  I plan on writing up a proposal to see if there is any free way to get these old documents digitized.
    • The Engineering Expo website is coming along very nicely.  Anyone who has any information to post should simply create an account and make any changes they feel are necessary.

    Vice President: Alex Halbleib

    • The main task that needs to be done before the next meeting is getting the activities down.  Currently there are 13 events that need to have details filled out.
    • Will be contacting the Louisville Science to see if they want to collaborate.
    • The rooms still need to be reserved.  Basically we are reserving all of the Speed campus.  If there are any rooms that are off of the Speed campus needs to be reserved pass that along to Alex.

    President: Kent Matsuzaki

    • SGA
      • Resolution 8: Validating paid parking at the SAC by the Gym side.  This would allow students to not pay if they use the parking near the gym.
      • Resolution 9: If a student does not want the money in their meal plan, they can transfer their balance to another student.
      • There is an E-Board meeting 
    • Council:
      • Will be meeting with Dean Star after Thanksgiving break to give him our list of requirements for the Council office move.
      • The plan was to have a Potluck for next meeting, the meeting will be a paper meeting.
      • The directors meeting for next semester still needs to have a time picked.
