Meeting called to order in the Council Office at 6:56 PM.


Freshman Council: Lauren Speaker

  • Freshman Council meeting Thursday at 5:00 PM in the council office.

DOSAF: Shannon George

  • Excused.
  • Mike: She was planning on having Study Jams on Monday nights, but the calculus tests are on Thursday, so the date didn't line up this semester.

DOSAC: Ryan Frazier (Proxy: Kara Leeds)

  • Ryan emailed the tentative E-Expo announcement yesterday and asked for input.
  • Sent a design for the E-Expo ticket and asked for feedback.
    • Suggestions: add the fact the theme is a masquerade and that you can bring your own mask or make one there.

  • No report.

DOPR: Belinda Casanova

  • Hannah Downs is the proxy for meeting.

DOF: Mike Schoen

  • Allie Jackson and Marshall delivered over $5000 in paper from the NAESC regional money.  There is more left to come, but we can continue to operate.
  • Need to start getting Alumni judges for E-Expo.
  • Kent: Order the pizza for Thursday's meeting.  12 pizzas for the meeting will be enough for everyone to get two pieces.
  • Will be picking up food for the council office this week.

DOCAR: Allie Bube

  • We were approved for $400 for the hotel for the E-Expo Keynote.
  • If you have to get in contact with me during work, cell phones and email are not available at work.
  • Kent: The Keynote address will be from 11:00 AM to 12:00 PM on March 6th.

  • The speedcouncil.org domain is up for renewal.  We will need to decide on how many years we want to renew it for in new business.
  • We will be opening nominations for SSSC directors positions this Thursday.
  • I emailed all of the members at large stating if they did not express interest in remaining a member at large they will be removed from the roster.  A few people have responded and I will make the changes to the roster on Thursday and report on them at the General Business meeting.
  • All of the registration forms for E-Expo are up functioning.

Vice President: Alex Halbleib

  • We have confirmed that the Louisville Science Center will be attending E-Expo and will set up an interactive booth.
  • Biggalow hall is reserved, will pick up the key two days before.
  • Talked to Richard Book about the ASCE Bridge Building Competition.  Will be attending the ASCE meeting this Wednesday at noon with Race.
  • Will be working on doing something similar with the other societies.
  • Working on getting a schedule finalized.
  • Kent is going to attend the IEEE meeting this Wednesday to get information about the robot competition.
  • Talked to ASME and they expressed interest in a paper drop or the string guided sail event.

President: Kent Matsuzaki

  • AP&P meeting is tomorrow.
  • Looking for volunteers for a science fair on January 28th.  If you are interested, contact me.
  • Looking into getting a new ideas for a SSSC t-shirt.
  • Council relocation: Will be meeting with Dean Star on Wednesday at 10 PM.
  • The tentative date for the E-Expo Preprally will be on January 23rd.
    • All directors need to know exactly what their E-Expo tasks are before the meeting.
    • Will break out into committee meetings and work on E-Expo tasks.
    • Afterwards we will go out and bowl.  The exactly location is TBD.
  • Student of the month applications are due again.

    • The options are 3 years for approximately $30 or 9 years for $80

    • Suggestions: Fridge, Microwave, display case for the hallway, sign outside of the building, LCD TV in Duthie, New or Keep AC unit, cost of moving the phone, projector, keep current white boards, painting supplies to paint the walls.

Freshman Council: Lauren Speaker
  • The Freshman Council learned about E-Expo from Jared and Alex.
  • The event might by something for Pi day.
  • May pass out candy for valentines day
DOSAF: Shannon George
  • No report.
DOSAC: Ryan Frazier (Proxy: Kara Leeds)
  • The first round of messages were sent to the high and middle schools about e-expo.  Male High responded and they were wondering if we were gonig to have a booth during lunch time at the school to advertise or anything.  The actual message said "We would love to get the info out about the e-expo... do you have flyers that we can put up? Would you like to come to Male during the lunches to talk to the kids? We will be putting in announcements for you and if there is anything else we can do, please let me know!!!"
  • Being on co-op is hard because I can't be there face to face, focused on council duties.  So if any director needs me to do anything, please e-mail me, and don't try to do it yourself if you need help.
DOSR: Race Nichols
  • I will be going to the AIChE meeting tomorrow to talk about E-expo and Saturday's event to try to get their involvement.
  • Emails will be sent out to Society Reps and Faculty advisers soon about involvement in E-expo.
DOPR: Belinda Casanova
  • Excused, no report.
DOF: Mike Schoen
  • There is food in the council office. (As soon as the order was placed the council office move became official.)
  • Will start working on a sheet for the next DoF so that they can attempt to implement some of the new ideas.
DOCAR: Allie Bube
  • Working on sending an email to the Speed School alumni list.
  • Talked to the person about the CPC money for the Keynote Hotel reservation.
DOA: Jared Hatfield
  • I spent all weekend coding a new version of an Assassins like game called Seeker.  There is a small group of people who have started playing.  It is different from assassins in that the contracts do not make a circle.  Contracts are assigned at random and more than one person can have the same target.  When someone is eliminated they fail their contract and anyone else who had that target fails their contract.  Contracts are assigned every day from 10:00 AM to 9:00 PM, but this may change.  You have 72 hours to find your target before your contract expires.  It is still a work in progress.
  • Nominations for directors positions will continue this week.
  • Will be sending out an email to the new list.
Vice President: Alex Halbleib
  • Nothing new to report.
President: Kent Matsuzaki
  • New shirt designs, Allie Jackson has offered to make a design, but we will announce a competition on Thursday.
  • We are still looking for volunteers for the Newberg Science Fair.
  • The council office will be moving on Wednesday.
  • The Prep-Rally is January 23rd.  The details will be gone over after this meeting.  Bowling will be at Kenbowl because they were the only ones that answered.  There are 8 lanes reserved for 2 hours.  It will start at 12:00 and we will leave for bowling at 2:15.
  • They are looking into moving the Speed School graduate tickets back to the graduate lottery.  They switched to the undergraduate lottery last semester and it caused some confusion.  They decision is not final and they are still looking for input.
  • SAB reached out and offered to host a LAN party.
  • You need to fill out the Student of the Month applications every month, so apply!

Freshman Council: Lauren Speaker
  • Freshman council is having a Pi day event the Wednesday before Spring Break.

  • No report.

DOSAC: Ryan Frazier (Proxy: Kara Leeds)
  • Two new E-Ball ticket designs.  We want to have them printed soon.  We liked the second ticket design as long as there is no printing difference.

DOSR: Race Nichols
  • No report.

DOPR: Belinda Casanova
  • All: Did anyone find the old banner while we were moving offices last week?
    • (if yes) Alex: Is this the same banner you wanted to be hung downtown?
  • Allie: Do you have contact info for whoever is in charge of the Alumni Newsletter so we can put an ad in there for e expo?
  • Alex: I will try my best to email you the tee shirt design for your approval for  next week. How many do we need? And in what sizes?

DOF: Mike Schoen
  • Talked to Allie about sending an email to the potential judges.
  • Will be talking to Alex after meeting about sending out a meeting about the research competitions to the news list.
  • There is a new toner cartridge for the printer.

DOCAR: Allie Bube
  • Peggy is working on contacting judges and having them register.
  • We will be having child care at E-Expo this year.  We need to find people to do that.  We are looking for non Speed volunteers to help out with this.
  • We will also be getting a list of places to advertise for free.
  • She will also be helping us get more advertising for E-Expo.

DOA: Jared Hatfield
  • Seeker is continuing and it seems like everyone is having fun.
  • I will be sending out an email to council asking volunteers to register for E-Expo.
  • I will try to contact the University about the "Its Happening Here" for E-Expo.
  • Elections will start this Thursday.
  • The lock from the council office has been removed.

Vice President: Alex Halbleib
  • We had a fairly successful Prep-Rally this past Saturday.
  • Will be sending out another wave of emails to societies.
  • Looking for a proxy for tomorrows SGA meeting.

President: Kent Matsuzaki
  • Dean Day said you will probably be excused if you help judge the Ballard High School science fair on January 28th.
  • Physical Plant is starting a recycling project.  They will have a pilot meeting at Wednesday at 2:00 PM till 2:30 PM on the third floor of JB Speed.  Lauren will be attending for council.
  • The council relocation is complete.
    • The cost of moving the phone and the cost of the new clock will be covered by Dean 
    • We can paint anything and everything in the council office, but we need to pay for the paint.
    • We will be getting new white boards.
  • Still trying to find a meeting time for the football tickets.
  • Talked to SAB about our ideas.  They ended up saying they are up for capture the flag.

Freshman Council: Lauren Speaker
  • Freshman council had a meeting, but Lauren wasn't there.
  • Kara: They played oobleck.
  • For E-Expo
  • Went to the recycling meeting: Already signed a contract with a new company.  They are starting at physical plant and then JB Speed.  They will have a tiny green can for recycling.  Your current garbage can will be your recycling bin.  You can put all of the recycling together.  Food products, tissues, Styrofoam, and some other products must be put in the trash.  By march it will be campus wide.

  • @Mike: Have you talked to Susan about printing the tickets?
  • Mike: I will talk to her tomorrow.
  • Kent: Print them at FedEx Kinkos.
  • Will be making a spreadsheet to keep track of ticket purchases.
  • @Belinda: Start making fliers that can be posted around campus.
  • Will be calling Rodmand Southerland about receiving the CPC funding for E-Ball.

  • Just gave Alex the T-Shirt design for E-Expo.
  • Looked into Facebook ads some.  You can pay per click or per day.  It may not be very expensive and they can be targeted towards a specific network.
  • Kent: Look into Coffee News about including E-Expo.  Also, you need to contact the Physical Plant about putting up the E-Expo banner in front of JB Speed building.

DOF: Mike Schoen
  • Will be giving Shelly the check for the NAESC dues.
  • Allie Jackson: Purchased the air plane tickets for NAESC Nationals.  Will be going to appropriations to apply for Travel Funds.

DOCAR: Allie Bube
  • The email went out this morning about judges and they have been signing up today.
  • Keynote speaker will be flying in from Dallas and staying Friday and Saturday night.
  • @Mike: You will be paying for reimbursement of the plane tickets.  The details on how the money will be transfered may be a problem and we need to get Susan to talk to their assistant.
  • The dinner will not be on Friday.  Will be eating lunch with us on Saturday.
  • Will need to get a gift for the Keynote.

DOA: Jared Hatfield
  • Seeker is continuing.  I am looking for feedback on how we will continue with the game.
  • E-Expo
    • I have sent an email and a reminder asking for volunteers to register for E-Expo.  There are currently 20 people registered.  Last year we had approximately 31 volunteers.
    • As students register for the research competition their abstract and project title will be posted on the website.
    • The Balsa Wood Bridge competition rules page and registration form is now on the website.
    • Lauren has already listed the Freshman Council hands on activity on the website, we need to push to get more activities listed.
  • I re-programmed the outer lock so all of the old door codes still work.

Vice President: Alex Halbleib
  • Kent: Reserve the tables for E-Expo.
  • Got an email from Marita with a lot of contacts for High School contacts.
  • @Ryan: Which high schools have currently been contacted?
  • Will meet with Marita tomorrow about an admissions booth at E-Expo.
  • Will update the Biggallow hall reservation to include a projector.
  • Will be working on the trinket.
  • For the open labs, Jared will draft an email and it will be sent to all of the department chairs.
  • Still need to contact local news.

  • @Mike: Don't forget to talk to Connie to transfer the money from SGA.
  • The rally for higher education is February 9th.  Students will be shuttled to Frankfort.  Students will be excused from classes and given a free t-shirt and lunch.
  • The state of the student body address is tomorrow.  There will be free giveaways!
  • We can keep our outer lock to the council office and talks are in progress about replacing our broken clock.
  • We will need to decided about painting the council office.

  • Had the best Freshman Council meeting ever last Thursday.
  • Will be needing the pro-card on February 25th and March 4th.

DOSAC: Ryan Frazier (Proxy: Kara Leeds)
  • @Alex: emailed every school that was on the contact list of the Google Doc.
  • E-Ball Information - Theme is masquerade, date is March 27 from 7-11 PM at  Frasier History Museum 4th Floor Cultural Arts Center, holds 350 People, $15 per person, $25 per couple, italian bar served by mastersons.  A table will be set up for people to make masks.  Will be selling E-Ball tickets starting this Thursday.

DOSR: Race Nichols
  • No Society has contacted me yet regarding ideas for E-Expo.

 

DOPR: Belinda Casanova
  • Even though I tried last week, Suzanne only just got back to me today about the physical plant work order. She said she’d place it for us; (she didn’t want to give out the speed type number).  So, hopefully, we will have that up soon. I’m assuming someone will need to be in charge of giving them the actual banner the day they decide to hang it up.
  • I emailed the contact for Coffee News. She said she’d “see what she could do” and that she was “smilefully” mine.
  • I will have a flyer layout ready for E-Expo this week. Is anyone willing to make copies before Thursday’s meeting? Perhaps we could just give everyone a few and ask them to hang them up around campus during their campus travels.
  • And I will do E-Ball flyer either this week or next.

DOF: Mike Schoen
  • Anytime we want to spend money it needs to go through Teressa and Susane.  Anytime you do any IUT make sure the DoF knows.
  • Sent out emails for Student Research Competition.
  • We can no longer purchase gift cards.

DOCAR: Allie Bube
  • Joe had some questions and I provided him answers.
  • Crisis was adverted.

DOA: Jared Hatfield
  • Sent emails to the former student exhibitors, former open lab contacts, and former attendees about E-Expo 2010.
  • At this point in time we have 2 student research competitions registered, 17 judges, no labs, and 5 individual attendees and parents.
  • Set up a Google Doc for tracking check-in during the day of E-Expo.  This will be similar to how we ran things last year but will be expanded.
  • @Directors: Start working on your transition materials for the next director in your position.

  • The trinket is now finished.  Will be contacting the rapid prototyping lab about getting them created.
  • @Mike: What is the budget for E-Expo?
  • Working on organizing lunch for E-Expo.
  • Reserved 28 tables for E-Expo.
  • Belinda will be working on putting up advertisement.

  • Kentucky house bill 103.
    • Students can no longer charge students athletic fees and mandatory commuter meal plans.

  • Kent: Working on a plan for a forum on SSSC and what we do effectively and what we could do to improve.

  • Going this Friday to meet with people from the Frasier History museum.
  • They are taking care of the security.
  • Mastersons have not charged us yet for the cash bar yet.
  • We have a DJ.

  • E-Expo is in the coffee news!
    • "I gave her a paragraph, she gave me a sentence"
  • E-Expo was not mentioned in the past SGA events email, they will be reminded to include E-Expo.

  • Allie: Peggy has a list of places that advertise for free.
  • The E-Expo banner is posed in front of JB Speed.

  • We are still missing NAESC regional money from KSPE.
  • Cummins lost the first invoice so we will be sending them another.
  • We have enough money to run E-Expo!

  • We should be selling E-Ball tickets during E-Expo so the alumni can buy the tickets.

  • Ratheon is having a huge display, they need two big tables and a power source.

  • E-Expo: Will be ordering name tags this week.  I currently plan on using the same company as last year.  @Mike: I will need the pro-card.

    • Elementary and Middle Schools: 16-21 students, 5 adults
    • High Schools: 26-36 students, 12 adults
    • Judges: 22
    • Student Exhibitors: 7 judged, 1 exhibition
    • Balsa Wood Bridge Competition: 12
    • Mouse Trap Catapult: 0
    • Volunteers: 26 SSSC, 16 Society Members
    • Open Labs: 7
  • The ACM will be moving locations before spring break.
  • Working on the application for the best website for NAESC nations.
  • We will be holding the vote for the WS Speed Award during this Thursday's meeting.

  • There will be an E-Expo meeting this Thursday at 6:30.
  • Talked to Professor Ravoli about the Elementary, Middle, and High school's that will be presenting at E-Expo.
  • We need to apply for NAESC nationals awards.  There are quite a few applications which we need to fill out before the 28th.
  • Alex Fromeyer started a company and was interested in having a booth at E-Expo.

  • Ideas for the next administration: 
    • Co-Host events with societies.
    • Get support fro Triangle and other Greek organizations.

  • The new freshman council event will be a paper pentathlon.  Mike needs to order paper.

  • Went to the Frazier History Museum on Friday to finalize the floor plan.
  • A potential DJ will be $100 but we need to supply the lights.
  • If we want to do an election picnic we would need to do pizza because it is too late for the grills.
    • One day on Thursday, pizza and drinks.  We will excuse two people from meeting to run it.
  • We need to buy masks, sequins, and feathers for E-Ball.

  • Contacted all of the people who were involved in press, but only one person has gotten back so far.

  • If you need any paper goods, let me know.
  • Will be picking up the procard this Thursday.
  • Any expenses related to E-Expo should be submitted to Alex.
  • Went to the alcohol awareness meeting with William French.
  • Sent out an email to the SSSC list, we are checking out trifolds to the student research competitors.  If you are in the council office and someone is looking for a trifold, make sure they sign it out properly.  Get the project name, the person's name, and their phone number.

DOCAR: Allie Bube
  • @Lauren: Can we get a wireless mic?
  • Created a poster of where stuff will be during E-Expo.
  • Company is going to set up a booth, but someone else is going to man it.  However, they will be here next year.

DOA: Jared Hatfield
  • The programs were given to FedEx today to print.  They will be ready to pick up on Wednesday.  The total cost came to $1000 for 500 programs, this is a good price per program.
  • The order for the name tags was placed last week.  They will be picked up on Friday at the latest.  I will find an exact date later this week.
  • As people continue to register on the website I am posting their information under Student Research Competitions and Open Labs.

  • E-Expo is on March 6th.
  • Sent out an email to all of the student exhibitors.
  • Helped jared out with the program this weekend.
  • Still need to order pizzas.
  • Contacted the Louisville Science center, they are interested but we need to find them a room.
  • We do have the ME lab open for use.
  • Will be picking up tables at 4:15 on Friday.
  • There will be a prep meeting starting at 5:30 on Friday and continuing until everything is finished.

  • SAB contacted me again about the possible capture the flag event.
  • ASME is interested in having a chili cook off.  They were targeting the first week of April.
  • Looking for feedback on the possible idea of giving out council superlatives.  Could possible link to achievements.

  • Pi day will be this Wednesday from 12 till 2 rain or shine.  Whichever freshmen gets the most pies in the face will get an achievement.

  • Kent: The student council forum will be on the 25th.  We want to advertise this very heavily so we can get a lot of people attending so we can get feedback for the coming year.  This will take the place of that weeks general business meeting.  We are going to try to get a bigger room so we can have more people attend.

  • The keynote was amazing.  You missed out Kent.
  • The keynote needs to be reimbursed for his travel.

  • Pictures from E-Expo have been posted and can be found on our website.  The E-Expo website will be fancied up with these new pictures this week.
  • In new business we can discuss what was successful at this year's E-Expo and what needs improvement.
  • If we want to apply for the University Awards for best student organization we need to submit the application before noon this Wednesday.
  • As a reminder to those outgoing directors, make sure you talk to your incoming counterpart and start transiting materials to them so they know how to do their job.  Talk to me about transitioning electronic documents.
  • Our website, http://speedcouncil.org won best publication / website at the National NAESC Conference in Austin Texas.  Additionally, Jeremy Bozarth gave a presentation about how we run our website and the various features that it has.
  • I had an idea this weekend for the welcome weekend freshmen video.  A Rube Goldberg machine that spans the length of the Speed Campus.  If we do it well enough it may go viral on the internet.

Vice President: Alex Halbleib
  • E-Expo was this weekend.  It went really, really well.
  • To wrap up E-Expo we will be sending out a survey to the various schools.
  • Will be looking into improving our council office.

  • SGA is making changes to their constitution.  For it to be approved all of the councils need to approve the changes.
  • We will be doing a council cleanup party where we can paint.  We can start back up the Coco committee.
  • We were thinking about having a post NAESC meeting about everything that we learned.
  • We will be holding a council forum soon.

    • Feedback:
      • The free form quality and having the societies involved went well.
      • We put up signs so the people knew how to get around the detour.  Parking was not a problem.
      • Tell people to arrive a little later, people showed up before things were set up and going.
      • Afternoon activities should be more structured so people stay around.
      • People were asking where they should start and what path they should take.
      • Proposed pathways, geared towards specific groups.
      • Ernst, CECS labs had very low traffic.
      • Oobleck was very popular.
      • We need more outside activities!
      • Spread the big activities around.
      • Lutz and SRB got almost no traffic.
      • Put a sign in front of each building telling what you can do in each building.
      • E-Expo passport that gets punched or stamped at the various locations.
      • Elementary, Middle, and High school exhibitors were amazing and very smart.
      • Lunch killed everything.  After lunch nothing really happened.
      • There should not be a structured lunch time, but a lunch period.
      • Tell people about how lunch is going to work up front.
      • Louisville Science Center needs a great location to highlight the awesome stuff that they have.
      • Societies don't need that complicated of an activity to have a really successful / popular event.
      • Breakfast was a huge success and should be expanded next year.
      • Student exhibitors worked well in duthie, but balance out between the rooms.
      • Judges had trouble hearing the presenters because the room was loud.
      • Some judges were standing for a very long time and that was hard on them.
      • The wrong email was sent out to the judges.
      • Not too long after the judges register send them an email 
      • The judges complained about having to write down the exhibitor information.  There is no reason they had to hand write down this information.
      • Print the exhibitor information out on labels and have the label placed on the judge sheet.  Each exhibitor has 9 labels and gives them to the judges.
      • Let the schools know about E-Expo much earlier.
      • Make a budget early!
      • ASCE ran a snack booth to sell snacks that was popular.
      • We planned on way more people than actually attended.
      • AICHE bridge building competition had far more people register than actually brought in bridges.
      • Visit high schools and talk up E-Expo get get them to attend.
      • Establish a better brand identity.
      • Next year there will be a month in between E-Expo and the NAESC national conference.

  • This is our last directors meeting for the current administration.  Make sure you transition all of your materials to the new director.  Steven will be transitioning the email accounts, changing member positions, and awarding achievements this weekend, most likely on Sunday. 
  • Seeker has been turned back on.  So far this semester the game has been a great success.  I am still looking for feedback on the game.  I am not sure how long this game will last, but at the very least it has been fun.
  • I spent much of my spring break coding a new web application that can be used by council.  This application, organization-budget-and-finance, is an open source PHP web application that is very similar to the existing attendance application, but is used to track finances.  The goal of this application is to give the next DoF an easy and transparent way to track our finances.  While it is not designed to be a complete budgeting system, it can track how much money is allocated to individual events and record the expenses for each event.  Additionally, sub-budgets can be created so large events such as E-Expo can have their own budget that includes more detail.
  • There is an outstanding request to have our t-shirts and hoodies that we sell posted on our website.  While we will not make a form for purchasing these, we need to hold a modeling session so we can get pictures of all of our apparel.  I will leave it to Steven to actually post this content on the website.

Vice President: Jared Hatfield
  • I have transitioned the council accounts to Steven but I still need to set up some time to talk to him about how everything works.  As for former DoA, I just want to remind all of the new directors to reach out to the person who was currently in their position or even further back.  Check out the achievements on the website to see who has served in each position.
  • A version of organization budget and finance is ready for a release!  I am going to ask Steven to install it on council's server and have Cristina to take a look and see if there are any last minute changes that need to be made or even a show stopper.  Kent has contacted the Dean's office to determine if there is any problem with posting their budget numbers publically.  The latest features to the tool include a printer friendly version of every page, the ability to search line items and receipts, the ability to associate documentation (external web pages such as public Google Docs) with line items, and the ability to export the entire database in a single click.
  • I have emailed all of the new freshmen directors with some of my terminal suggestions as DoA on things that they could tackle in the coming year.  With E-Expo almost a year out, I will be spending my time making sure this new year is off to a great start.  My first big suggestion is to create a SSSC blog where the directors can post council related news.
  • As for E-Expo related news, my first task will be helping to create a branding identity for the event.  I hope to get the help of Lauren and Alex to get the first steps on this accomplished before the end of the semester.
  • I will also be heading up the design and implementation of the NAESC 2010 National Conference website.  This will need to be essentially finished before not to far into the summer semester.  I'll be looking for help and suggestions to keep our record of having amazing websites unbroken.

    My tentative theme for E-Expo 2010 is "On the Shoulders of Giants."  I am looking for feedback or other ideas.
