Directors Meeting Minutes Summer 2006


May 8, 2006


  • We are very low on money.
  • Council has certain events that need to be covered. They are: Directors’ Retreat, handbooks, office supplies, the GSP (Governor’s Scholar Program) trip, and possible future merchandise.
  • For now, all directors must not spend any money.
  • Committees should be meeting biweekly. If they have nothing to do, work will be assigned.
  • The issue of moving co-op up to the junior year was brought up at the Faculty meeting. Check the student response to this.
  • Directors’ Retreat needs to be planned as it sets the focus for the upcoming year.
  • Retreat will be held again at Otter Creek Park if no one objects.
  • Fall ’07 will start the laptop requirements for incoming freshmen.

Vice President - Allison Douglas

  • Has been working on the E-expo powerpoint and will be meeting with each director.
  • Last year a buddy system was implemented that seemed to work very well, so this will be continued.
  • The student advisory committee is working on gathering numbers.
  • The regional conference meeting will be held soon, most likely in the evening.

Director of Administration – Bonnie Briggs (proxy)

  • Will need all the directors’ schedules by Friday.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • A meeting has been set with Dr. Sutton on Friday about Career Fair.

Director of Finance – Joey Gordon

  • Council is requesting assistance from SGA on funding.
  • Members are needed for the committee.
  • The office will be stocked within two weeks.
  • The printer in the council office is low on toner. If the printing needed is over 5 pages, people need to use Vogt.

Director of Public Relations – Jeff Perkins

  • Currently the members on the committee are Gilkey, Hacker, and Rangi.
  • A scrapbook of council events is being made by Jeff.

Director of Student Affairs - Simone Caston

  • Brian Goessling and Kate Brandner will be proxies.
  • The committee will be putting together a list of scholarships
  • The preliminary planner has been sent out. Please look it over for corrections. When sending a correction in, please do NOT use it in the word file; just state the location.
  • A signup sheet will be put up for orientation sessions.

Faculty Advisor - Dr. Gerald Willing

  • The ABET Examiners will be visiting in this coming year.

Captain Ideas – DJ Tegtmeier

  • A new idea is society hour.
  • A committee meeting will be rearranged soon.

May 15, 2006

President - Tony Harper

  • More people are needed to work orientations. Please sign up.
  • The money situation is still being worked on.
  • The directors need to email the names the names of their committee members.
  • Joey motions to make the third weekend of June Directors’ Retreat. Bonnie seconds. Motion passes. This is subject to change if the availability doesn’t suit.

Vice President - Allison Douglas

  • Will look up another location for Directors’ Retreat.
  • If anyone has any more ideas on where to go for Retreat, please mention them.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • A meeting has now been set with Faye to meet about Career Fair.

Director of Finance – Joey Gordon

  • The council office has been restocked. Everyone needs to remember to pay.
  • The date for council retreat should be planned next directors’ meeting. It might be necessary to wait until the new freshmen council is voted in this fall.
  • The GSP trip is Tuesday, June 27 at Morehead. Members will need to leave at 3pm and will be getting back late.
  • If anyone is interested in going on the GSP trip, please email DOF@speedcouncil.org.

Director of Public Relations – Jeff Perkins

  • An ad for volleyball will be going up on the billboard down the hall.
  • The committee meeting is set for Monday.

Director of Student Activities – Dempsey Ballou (proxy)

  • The best nights for volley ball will be Tuesday and Thursday. Courts cannot be reserved, so players need to get there as early as possible.
  • However, Joey says “We can always say they are reserved, and people will leave.”
  • Tony will email Speed School about volleyball and will be setting up an online bracket system for the teams.
  • Selena will send out an email to the societies about volleyball.
  • Freshman Council is meeting this week to see if something can possibly be arranged for the first day of volleyball.

Director of Student Affairs - Brian Goessling (proxy)

  • The handbook is almost done; hopefully we will have enough for orientation.
  • Looking into holding a forum but will need to wait until funding can be checked.
  • There will be a NAESC meeting in July.

Director of Society Relations – Selena DeRossett

  • All but four societies have emailed in updates.
  • Attendance has not been very good, so Tony will send them an email. Joey will report to them our manner of funding.

Captain Ideas – DJ Tegtmeier

  • Nothing new to report.

  • Tell people to sign up for orientations.



May 22, 2006

President - Tony Harper

  • Attended the Industrial Board of Advisors meeting. The council office will not be a priority on the remodeling plans according to the Dean. We will be protesting this.
  • We are more broke than we thought. The SGA budget was cut by $70,000, so the SGA president is having some difficulty.
  • The Directors’ Retreat at Otter Creek will cost about $125 plus food. Perhaps the directors could pay their own way.
  • Allison motions to hold retreat June 23-24 to be paid in full by those attending. Jeff seconds. Motion passes.
  • Council should know the approximate cost per person next week.
  • Volunteers are still needed for orientation.

Vice President - Allison Douglas

  • EDAC meeting held last Friday. It is hoped to complete a major change at each meeting. Exhibits will be discussed next.

Director of Administration – Bonnie Briggs (proxy)

  • Elections will be held for second and third year students this Friday from 11 am to 1 pm.
  • Anyone who has not yet stated their intention to run needs to email babrig02@louisville.edu.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • A meeting was held with Faye and Penny.
  • The focus will be taken off a Speed Specific Career Fair and put on rountables. These are more major specific and involve separate days for different companies.
  • Career Fair is run by Debra Mayberry (sic?). Adam will try to meet with her.
  • Even though we take money from companies at a loss, this appears to be one of the problems that the offices upstairs have with council.
  • Perhaps getting the engineering companies to this side of campus during the campus-wide Career Fair would help if we can’t get them here on a separate day. We could offer to organize the student attendance part.
  • Tony is seeking a list of the engineering companies from the Industrial Board of Advisors.

Director of Public Relations – Jeff Perkins

  • Committee meeting will be held today.

Director of Student Activities – Dempsey Ballou (proxy)

  • Volleyball will start the Tuesday after Memorial Day. Will be posting the rules outside the council office; everyone needs to know them.
  • Freshmen Council will probably not be holding Cheap Lunch for awhile in light of the finances. However, since money is not usually lost when the Lunches are held, this might change.
  • Dempsey will be taking over the plans for the GSP trip. Will look over the slideshow for possible updates and corrections.

Director of Student Affairs - Simone Caston

  • Our section of NAESC needs a financial director! Please read the email and respond if you are interested.

Director of Society Relations – Selena DeRossett

  • Some of the societies have emailed back.
  • After this week, Selena will start contacting the societies personally and will inform them about the new Society Corner in the Speed News.

Faculty Advisor - Dr. Gerald Willing

  • The Crosby Middle School is holding an event for their students. They would like to know if we would be interested in attending and holding an engineering event for the kids.
  • This would be around May 30th or 31st for one day only at anywhere from 8:30 to 11 in the morning.
  • Jeff suggested something out of a magazine from the NAESC convention. He will need to have the event planned by Thursday if we intend to do it.

  • Nothing new to report.

Announcements

  • Speed School News is going out tomorrow! A new three part series has been started, and it will cover incoming freshmen, the laptop requirement, and the Kersey library.
  • Volunteer for orientation.



June 5, 2006

President - Tony Harper

  • Six people from orientations expressed interest in Student Council.
  • Thanks to all of those who have helped so far and continue to do so.
  • The computer repairs will start next week.
  • Kersey Library is closing indefinitely July 21st.
  • Perhaps someone might be able keep an eye on the books, so as to allow students to have a study area.
  • Speed School will be combining the two graphics classes in the near future.
  • Please email thoughts and feedback on this to Tony.

Vice President - Allison Douglas

  • NAESC meeting on Wednesday, June 7.
  • ESAC meeting on Friday, June 9.

Director of Administration – Bonnie Briggs (proxy)

  • Bonnie needs the names of Dempsey's and Selena's committee members.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • Still cannot get a hold of Debra, so Adam will visit her office tomorrow.
  • A new meeting is also being arranged with Faye.

Director of Finance – Joey Gordon

  • The office will be stocked by Wednesday.
  • Hopefully a budget committee meeting will be held this Friday from 11:30-1 pm.
  • The cabin has been reserved for Directors' Retreat over at Otter Creek.
  • We should use the burger that are in the freezer.
  • Joey will bring and arrange the food.

Director of Public Relations – Jeff Perkins

  • Nothing new right now, we're poor.

Director of Student Activities – Dempsey Ballou (proxy)

  • Volleyball is going well.
  • The GSP trip is planned for June 27.
  • Adam will drive his van.
  • Dempsey will send out an email asking for volunteers, as seven are needed.
  • Softball games might be an option
  • No student association will be sponsoring them.
  • Dempsey will check and see if the field was reserved by Tate.

Director of Student Affairs - Simone Caston

  • Than handbook total so far is 250, and the reactions from future students has been good.
  • People are needed for Simone's committee!
  • Allison and Simone are writing for the NAESC Newsletter.
  • Anyone else who would wish to write an article is more than welcome.

Faculty Advisor - Dr. Gerald Willing

  • The faculty want Masters' students to help with the undergrad design course.
  • This is payable toward tuition.
  • No other funding sources area allowed though.
  • The bushes were removed because they were a safety hazard.

Captain Ideas – DJ Tegtmeier

  • Hoping to get a Blackhawk for E-days.

June 12, 2006

President - Tony Harper

  • One person is still needed to fill a committee position.
  • Retreat is next weekend. We will leave here at 4:30, and Joey will provide a list of what to bring on Monday.
  • Feel free to bring games for it.

Vice President - Allison Douglas

  • The NAESC meeting went well.
  • ESAC meeting went really well since some societies were able to make it.

Director of Administration – Bonnie Briggs (proxy)

  • Bonnie and Tony will be trying to get assassins started soon.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • Adam is still trying to get a hold of Debra and waiting to hear from Faye.
  • A proxy is needed for this position for the fall.

Director of Finance – Joey Gordon

  • There is a budget meeting this Friday in Vogt at 3pm.

Director of Public Relations – Jeff Perkins

  • Nothing new right now, we're poor.

Director of Student Activities – Dempsey Ballou (proxy)

  • The playoffs for volleyball are next week.
  • GSP trip: We will present from 6:45-8:00 pm, and it is a long drive.
  • Hopefully softball can be started after July 4 on Mondays and Wednesdays.

Director of Student Affairs - Simone Caston

  • The forum is being worked on with the counseling center.
  • Hoping to have a forum on how to relieve stress with a water balloon fight after.

Faculty Advisor - Dr. Gerald Willing

  • There are many vacations going on in July. :)

Captain Ideas – DJ Tegtmeier

  • Hoping to get a Blackhawk for E-days.

Announcements

  • Selena and Jeff are leaving Speed School. They will be looking for proxies.
  • Simone will be gone from June 16-26, so all question will need to be directed to Brian.



June 19, 2006

President - Tony Harper

  • McConnell called saying he has a line on a guy who worked on the Manhattan Project. We will see if he might be able to attend E-Expo.
  • Tony will have an agenda for council at the Directors’ Retreat.
  • A message to print more handbooks got messed up at the Copy-it Center, so hopefully council will be able to get the new books tomorrow – at a discounted price.

Vice President - Allison Douglas

  • There will be a meeting with Elaine about the Alumni meeting.
  • The EDAC was successfully held.
  • The NAESC regional meeting will be held soon.

Director of Student of Corporate and Alumni Relations – Adam Pfendt

  • Not exactly sure how to continue on the Career Fair issue, but sent out an email to Faye today to see the opinion on charging companies for just the cost alone.

Director of Finance – Joey Gordon

  • All council members attending the GSP trip need to familiarize themselves with the slideshow.
  • The budget meeting was held last Friday and will be discussed at Directors’ Retreat then voted on in council.
  • For retreat, hamburger will be served, and Joey will send out a list of what to bring on the directors’ listserv.

Director of Student Activities – Dempsey Ballou (proxy)

  • The GSP trip will be Tuesday, June 27, and Dempsey will check to see the room requirements are met.
  • The softball field has not been reserved so will send out feelers and check school interest before booking the field.
  • With Joey’s help, the Speed Olympics plans will be started.

Director of Student Affairs - Simone Caston

  • The forum will be held in July on a Thursday. Right now a date needs to be set with the counseling office.

Director of Society Relations – Selena DeRossett

  • Talking to Sarah Greenwell about taking over, but she has not yet decided.

Faculty Advisor - Dr. Gerald Willing

  • The ABET documentation has been completed.

Captain Ideas – DJ Tegtmeier

  • Nothing new to report.

  • Dempsey might be replacing Jeff as DOPR.
  • It might be possible to hold a Cheap Lunch soon.
